About This Template
Compare transaction costs across five payment methods with this Payment Method Cost Comparison Calculator Excel template. Whether you're evaluating cash handling fees, credit card processing rates, or ACH transfer costs, this spreadsheet helps you identify the most cost-effective payment option for your transaction volume.
What You Can Calculate
This template calculates cost per transaction and annual costs for five payment methods:
- Cash - Flat handling costs including counting, deposits, and security
- Credit Card - Fixed per-transaction fee plus percentage of transaction amount
- Debit Card - Similar structure with typically lower rates than credit
- ACH Transfer - Flat fee per bank transfer
- Cryptocurrency - Fixed fee plus network percentage
The summary section shows your lowest cost per transaction and potential annual savings compared to the most expensive method.
Required Inputs
Enter your average transaction amount and monthly volume, then customize the fee parameters for each payment method. Default values reflect typical U.S. online/API pricing - replace them with your actual contracted rates from your payment processor statements for accurate comparisons.
Methodology
Per-transaction costs use two formulas: flat fee for cash and ACH, or Fixed Fee + (Rate/100 x Transaction Amount) for cards and crypto. Annual costs multiply the per-transaction cost by monthly volume and 12 months.
Assumptions & Limitations
This model assumes a complete shift to one payment method (no mixed tender), excludes volume discounts and interchange-plus pricing, and does not include chargeback costs, equipment fees, or cross-border conversion fees.
Frequently Asked Questions
Replace the default fee values in the light blue input cells with your actual contracted rates from your payment processor statements. The formulas automatically recalculate all costs based on your inputs.
You can add rows for additional methods, but you will need to manually update the MIN, MAX, and savings formulas in the Summary section to include the new cells. The template includes formula documentation to help you extend it.
Copy the Calculator sheet to create multiple scenarios (e.g., different transaction volumes or fee negotiations). You can then compare side-by-side how cost rankings change as your business scales or as you renegotiate processor rates.
